Streamlining Back-Office Operations

This week, we sat down with Craig Beggins, owner and broker of CENTURY 21 Beggins Enterprises, and Angelique Beggins, one of the company’s team leaders and who was responsible for a successful launch of the dotloop platform. We spoke with them about all things real estate – from how they got started in the business to the ways they are leveraging dotloop to improve their processes.

1. How did you get your start in real estate?

We were both raised in family real estate businesses! Craig’s dad brought the Century 21 brand to Florida in the 1970s. He sold it in 1983 and became a real estate developer. Then Craig got involved in the family real estate company. He got his broker license and his father gave him half the real estate company and said “run it.” The next year, they bought another franchise and became Century 21 again. That was 26 years ago.
 

2. How does your firm leverage dotloop?

Dotloop has streamlined our whole back-office operation. Now we can communicate directly with our agents, our clients and our title agents – and everyone has access to the same file so it’s very convenient for all of us to work together cohesively. It’s so much easier than the way we were doing things before. We have one file set up instead of our back-office setting up a file, our agents setting up a separate file, our clients having paperwork, etc. Wow, dotloop is life-changing! I’m not kidding. 3. How did you launch dotloop?

We took our time – it actually took us four months to launch dotloop to our agents. Being cautious and analytical, my team and I all wanted a clear understanding of the product before we rolled it out to our agents. We wanted our agents to be able to come to us so we could help them through the process. We didn’t want a rocky start for them. And that’s exactly what we did.

We also brought all our existing inventory into dotloop for our agents. We basically built the platform from the bottom up. That way, when our agents started using the platform, they could easily find their active listing and pending contract files because these were already set up and loaded in dotloop for them. Everything was already right there in front of them, making the process much more manageable for everyone. We also used that approach to provide our agents with an example of how we wanted to structure and organize the files. We think this approach worked well because nearly all of our agents are embracing dotloop. They’re loving the convenience and ease of the platform, especially the mobile app!

4. What do you find to be most useful about having your agents use dotloop to manage transactions?

A. We’re all about streamlining. Anything we can do to streamline a process makes us that much more efficient. It’s also neat to see some of these new platform integrations with dotloop – we are getting up to speed and plan to use several of them.

B. Dotloop helps us collaborate. We have so many different hands in the files now and everyone can see what everyone is doing. We think by building the platform from the ground up for the agents and then having them come on board after we did that set us up for success.

C. We onboard agents with dotloop. All our agent personnel files are now hosted within dotloop. When we bring on a new agent, there’s of course a stack of paperwork they need to complete. All of those forms have been built out and templated in dotloop so whenever we bring on a new hire, they are introduced to dotloop within the first few of days of being with the company. They can complete all the new hire paperwork via dotloop now.
 

5. What would you say to others interested in dotloop?
